Purpose of the position

Due to the expansion of our activities, we need additional support within the Vocal team. The successful candidate should be a highly effective and efficient administrator with a keen eye for detail. You will be required to provide accurate, timely and comprehensive logistical support to a range of HP vocal customers, as well as travel arrangements, meeting planning and general administrative requirements within the vocal team. You will be expected to provide exceptional service, consistency and support in your role at all times, anticipating needs, addressing concerns and resolving issues as they arise in a professional, confident and efficient manner.

Main responsibilities

General administration of artists

  • Log all information and updates on engagements, dates, locations, fees, rehearsals and performance times on our Overture, our diary system.
  • Coordinate rehearsal schedules, call times, work sessions with directors/conductors, auditions.
  • Check repertoire details including versions/editions, language, cuts, dialogue.
  • Identify requirements well in advance for all work permits and visas, and ensure that all necessary applications are completed
  • Consider the detailed requirements for practice rooms, backstage requirements, complimentary tickets, dress code/costume fittings, interviews/press activities necessary for any engagement and put all detailed arrangements in place accordingly.
  • Liaise with clients and broadcasters, arrange domestic and international travel and verify final ticket issuance and all details.
  • Discuss and find suitable hotels and short-term accommodation for each engagement, and make reservations
  • Arrange any necessary local transportation, such as airport transfers and travel between airports, accommodation or venue
  • Finalize all timing and running order details for each engagement and provide a detailed schedule (including travel/accommodation information, if applicable) to the artist in a timely manner


  • Record, scan and verify contract terms upon receipt against agreed terms of engagement and update log system
  • Process and monitor the issuance, signing and finalization of contracts
  • Assist in the administration of all contracts that are not engagement specific, such as contract registration

Financial administration

  • Ensure financial information on the artist log system is maintained (including amounts to be billed to promoter for travel and accommodation) and pending fee negotiations are tracked in a timely manner
  • Review promoter invoices and monthly commission statements to ensure they are correct and complete
  • Liaise with Promoters and HP Accounts regarding Social Security payments, tax exemptions and
  • withholding tax regime
  • Process incoming royalty statements and other correspondence relating to monies received by HP
  • Track and ensure timely payment of artists & #39; fees, and verify deductions of taxes, social security and any other charges by promoters
  • Assist artists in completing their tax returns by providing full and complete details and liaising with
  • their personal accountants.

Press and PR

  • Obtain and present reviews of recordings and performances, obtaining foreign reviews where appropriate
  • Maintain biographies, discographies and directory listings, ensure web pages are up to date and documents are
  • distributed as needed and faithfully reproduced by the promoters
  • Maintain promotional materials for all artists and negotiate permissions to use recordings for promotional purposes
  • Generally assist the Artist Director in the preparation and distribution of sales materials
  • Support HPVocal’s Twitter feed and general online presence with daily updates and news.
  • Assume responsibility for sending monthly highlights and all other service announcements to our contacts.
